The Office of Admission at Barrie School is seeking an office and database assistant. The ideal candidate, who is the “first face” of the office, serves as the first point of contact for prospective families. This position is a mix of administrative and database work, requiring collaboration with Administrative and Division offices. The Admission Office Assistant reports directly to the Director of Admission.
Responsibilities include the following:
To meet and greet prospective students and their families.
To screen, route phone calls, and take messages as needed.
To monitor the department email inbox and answer emails or route appropriately.
To present the school’s application process to prospective students and parents, which includes systematically and efficiently handling applications, communicating with candidates and their parents; scheduling interviews with candidates and their parents; scheduling admission testing; securing necessary student credentials; and maintaining admission records.
To manage the flow of applicant files within the database.
To maintain and manage the office calendar.
To oversee, manage, and accurately maintain the admission database
To run statistical reports and queries, and enter inquiry and application data.
To collaborate with Database Manager on annual rollover and data hygiene.
To oversee Admission Office logistics including ordering admission and office supplies, and appropriate admissions marketing materials.
To help coordinate special events including Open Houses, campus tours, virtual information sessions, new student receptions, and other admission events on and off campus.
To help prepare admission officers to represent the school at various gatherings and conferences.
To sort the office’s mail and prepare responses (when necessary) as well as maintain and update standard letters.
To organize, prepare, and deliver new enrollment and re-enrollment contracts.
To perform other duties as assigned by the Director of Admission.
To support the school, its leadership and mission.
To have the ability to work occasional evenings and weekends.
Skills + Requirements
Desired skills and qualifications: BA degree; experience in a customer-facing role, familiarity with multi-line phone systems, proficiency in Google Suite, Microsoft Office (Excel, Word, PowerPoint), Blackbaud , or other admission databases; an ability to work with a range of constituents, including alumni/ae, current Barrie School families and families new to independent schools; strong organization, communication and interpersonal skills; the ability to be self-directed, analytical, and detail-oriented as well as able to prioritize a variety of obligations and deadlines. Key personal attributes: positive spirit, optimism and a ‘can-do’ attitude.
Schedule
Office hours are in person from 8:30 am until 5:00 pm. This position includes generous PTO including all school holidays and breaks, and two additional weeks that are to be taken during the summer.
